### Key Takeaways

- **Real payload is what counts:** the brochure number is calculated on a base configuration. Factory options, and then the upfit equipment, cut into what's left for parts, tools and crew.
- **Layout first, vehicle second:** define how your crews work before choosing the wheelbase and roof height, not the other way around.
- **Order electrical options from the factory:** a high-output alternator, dual battery prep and upfitter switches cost far less on the order sheet than after delivery.
- **Plan for compliance:** in Canada, a company that alters a new vehicle before its first retail sale must hold a National Safety Mark from Transport Canada.
- **A 30-minute review prevents costly mistakes:** bring your upfitter in before you sign the purchase order, not after the vehicles arrive.

The most expensive upfit mistake usually happens before the vehicle ever reaches our shop.

A fleet orders ten new vans. The trucks arrive, and then the call comes in: shelving, an inverter, a battery bank, ladder racks, and a full load of parts and tools. That's when the problem surfaces. Once everything is installed and loaded, the van is over its weight rating. Or the layout the crew needs doesn't fit the wheelbase. Or the factory electrical package can't support the equipment.

At that point every option costs money. Cut equipment the crew relies on, run the vehicle overweight, or reorder trucks and wait months for delivery. None of it is necessary. A short conversation with your upfitter before the purchase order is signed prevents almost all of it.

Here's what to settle before you buy.

## 1. Know your real payload, not the brochure number

Payload is the gross vehicle weight rating (GVWR) minus the weight of the vehicle as it actually sits. The number in the brochure is usually calculated on a base configuration. Every option you add at the dealer, like a high roof, an extended body, all-wheel drive or a bigger engine, eats into it before the upfit even starts.

Then the upfit takes its share. Shelving, drawers, partitions, ladder racks, an inverter, batteries and wiring all add up. What's left is what your crew can actually carry in parts, tools and people.

Work backwards. Start with what a fully loaded truck carries on a normal day, add the equipment, and compare it to the payload of the exact configuration you plan to order. If the margin is thin, it's far easier to change the vehicle spec, or choose lighter equipment like lithium batteries over AGM, than to fix it after delivery.

Running over GVWR isn't a paperwork issue. It affects braking, tire life and suspension wear, and it can create real problems with insurance and enforcement.

## 2. Match the body to the layout, not the other way around

Wheelbase and roof height decide what fits inside the van. A short wheelbase might handle a basic shelving package, but not shelving plus a workbench plus a battery compartment. A standard roof might be fine for a crew that works from the side door, and a daily struggle for a technician who needs to stand and work inside.

The right order is simple. Define how the crew works first: what they reach for most, what needs to be secured, where the power equipment goes, and whether they work inside the vehicle. Then pick the body that fits that layout. Choosing the vehicle first and forcing the layout into it is how fleets end up with crowded aisles, blocked doors and equipment mounted in the wrong place.

If you already run a similar vehicle, ask your crews what doesn't work today. That feedback is worth more than any spec sheet.

## 3. Order the right electrical options from the factory

This is where the most money is saved or lost. Most commercial vehicle manufacturers offer options built specifically for upfitting: high-output alternators, dual battery provisions, upfitter switches and pre-wired power points. Selected on the order sheet, they cost a fraction of what it takes to retrofit something equivalent later. Some can't be added after the fact at all.

If the vehicle will run an inverter, power tools, lighting, a fridge, or a mobile power system, your upfitter needs to size the electrical system before the order goes in. An undersized alternator means batteries that never fully recharge, shorter battery life and, eventually, a crew that can't count on power when they need it.

Ask your upfitter which factory codes to select for the equipment you plan to install. It takes a few minutes and it's one of the highest return decisions in the whole process.

## 4. Don't forget compliance

In Canada, a company that completes or alters a new vehicle before its first retail sale takes on responsibility for its compliance with federal safety standards. To certify that work, it needs a National Safety Mark from Transport Canada and must apply the proper compliance label.

For a fleet buyer, the practical takeaway is simple. Ask whether your upfitter is registered, and whether the planned modifications affect the vehicle's certification. Sorting this out before purchase avoids delays at delivery and gives you clean documentation for audits, insurance and resale.

## A pre-purchase checklist

Before signing for the vehicles, make sure you can answer each of these:

- What does a fully loaded truck carry on a normal day, in parts, tools and crew?
- What is the real payload of the exact configuration we're ordering, options included?
- What will the upfit equipment weigh, and how much margin is left?
- Does the wheelbase and roof height fit the layout our crews need?
- What power will the vehicle need, and which factory electrical options support it?
- Has our upfitter reviewed the spec and confirmed the factory codes to order?
- Do the modifications affect certification, and is our upfitter registered to handle it?
- What is the delivery timeline for the vehicle and for the upfit, back to back?

## Bring your upfitter in early

The fleets that get this right treat the upfitter as part of the purchasing decision, not a service they call after the trucks arrive. A 30-minute review of the spec before the order goes in costs nothing. Fixing a wrong spec on ten vehicles costs a lot.

At 360 Fleet, our teams at 360 Protek, 360 MPS and 360 W.E. review vehicle specs with fleet managers across Quebec and Ontario before they buy. If you're planning a purchase, send us the configuration you're considering and we'll tell you whether it will do the job once it's upfitted and loaded.

Blog FAQ

## Plan the Upfit Before You Buy the Vehicle

01\. How do I calculate the real payload of a work vehicle?

Subtract the vehicle's actual weight, as configured and equipped, from its gross vehicle weight rating (GVWR). The GVWR is on the label in the driver's door jamb. Then subtract the weight of the upfit equipment. What's left is what you can carry in parts, tools and crew.

02\. When should I involve an upfitter in a vehicle purchase?

Before the purchase order is signed. That's when the vehicle configuration and factory options can still be changed at no extra cost. Once the vehicle is built, every correction costs more.

03\. Can I still upfit a vehicle I've already bought?

Yes, in most cases. But your options may be more limited, especially for payload and electrical capacity. A good upfitter will review what you have and tell you what's realistic before starting.

04\. Which factory options matter most for an upfit?

It depends on the equipment you plan to install, but the electrical options usually matter most: high-output alternator, dual battery prep, upfitter switches and pre-wired power points. Each manufacturer uses its own option codes, so ask your upfitter which ones to select.

05\. Are lithium batteries worth it over AGM?

Lithium batteries weigh significantly less for the same usable capacity, which leaves more payload for your crew's tools and parts. They do cost more upfront and need proper charge management in cold weather. The right choice depends on your power needs, payload margin and budget.

06\. What is a National Safety Mark, and why does it matter to me?

It's an authorization issued by Transport Canada. A company that completes or alters a new vehicle before its first retail sale needs one to certify the vehicle still meets federal safety standards. For a fleet buyer, it means clean compliance documentation for audits, insurance and resale.

07\. What happens if my vehicle is over its GVWR?

Braking, tire life and suspension all suffer, and it can create problems with insurance and roadside enforcement. It's a safety issue, not just a paperwork one.
